Job Title: Administrator: Retail Operations<\/strong>

Job Summary:<\/strong>
\nThe purpose of the role is to perform general administration and support to the Portfolio Manager: Retail Operations and Retail department and to ensure portfolio administration is managed effectively.<\/p>\n

General Functions:<\/strong>
\n1.Manage day to day administration for Portfolio Manager: Retail Operations (PFMRO) and assistance to Centre Managers (CMs)
\n2.Basic office filing, copying, and scanning: COC\u2019s, biometric reports, monthly reports, meeting agenda and minutes etc.
\n3.Preparing, receiving, and distributing stationary orders
\n4.Replenishing staff refreshments
\n5.Roaming office calls: taking messages<\/p>\n

Administrative Functions:<\/strong>
\n1.Preparation \/ typing of agendas, minute taking and timeous distribution for PFMRO meetings and Shopping Centre meetings packs
\n2.Petty cash capturing for CMs
\n3.Managing Retail template documentation on I drive
\n4.Assist with typing of tenant correspondence as drafted by CMs
\n5.Updating tenant and store manager contact details
\n6.Updating utility (gas\/water\/elec.) meter numbers provided by CM\/Maintenance Manager\/Building Manager
\n7.Parking leases: assist with parking administration \/ preparing and managing waiting list
\n8.Exhibitions: preparing leases and instructions, assist with bookings and locations
\n9.Fixed contracts: preparing contracts and cancellations
\n10.Yearly budgets: Assisting PFMRO and CMs with budgets preparations
\n11.Income statement monthly expense detail on fixed monthly contracts only (variances)
\n12.Ordering of window wrapping for vacant offices
\n13.Recordkeeping of insurance claims
\n14.Audits of refuse removal rates, recoveries related to HVAC, generator, and equipment maintenance (variances)
\n15.Follow up of outstanding supplier invoices
\n16.Obtaining cancellation confirmation for suppliers
\n17.Assist with RFI manual job card documentation
\n18.Forward vacate inspections to Data Management Department and Credit Controller
\n19.Entry inspections form managing \/ filing
\n20.Customer case reports for PFMRO
\n21.Recordkeeping of monthly inspection reports and providing reports to internal auditors
\n22.Assist with logging emergency jobs only
\nWorking conditions:
\nOffice Based.<\/p>\n

Requirements:<\/strong>
\nQualifications & Experience:<\/strong>
\n1.Matric – Required
\n2.Administrative related qualifications – Preferred
\n3.At least 3 years\u2019 experience in an administrative role – Required
\n4.Experience in Property and\/or retail industry – Preferred<\/p>\n

Skills & Knowledge Required:<\/strong>
\n1.Good verbal and written communication skills required
\n2.Good administrative and skills required
\n3.Minute taking skills required
\n4.MS Office:
