AA\/EE Executive Secretary Position
\nBased in Roodeport
\nA leading Engineering and Manufacturing Company in South Africa\/Africa, dealing with infrastructural products and belonging to a reputable market leader requires an experienced, highly efficient and organised Executive Secretary. The incumbent must be professional with high levels of integrity and confidentiality.
\nThe successful candidate must have:
\n\u2022 Matric
\n\u2022 Secretarial diploma
\n\u2022 3 \u2013 5Years Executive Secretarial Experience
\n\u2022 Computer Literacy
\n\u2022 Minute taking
\n\u2022 Scheduling and filing skills
\n\u2022 Good administrative skills
\n\u2022 Confidentiality is imperative<\/p>\n
Your busy and challenging day will include but not limited to:
\n\u2022 Minute taking
\n\u2022 Scheduling and filing skills
\n\u2022 Administrative skills
\n\u2022 Performing relevant secretarial duties
\n\u2022 Arranging meetings
\n\u2022 Typing executive reports
\n\u2022 Typing standard documents maintaining time and quality standards
\n\u2022 Preparing and distributing board packs accurately and timeously
\n\u2022 Record and document minutes
\n\u2022 Managing the executive team\u2019s diaries \u2013 schedule and confirm internal and external meetings
\n\u2022 Diary notes, dates, meetings, events, notices and presentations and important deliverables are pre-planned and recorded in all executive diaries
\n\u2022 Up dating and changing to weekly, monthly and annual schedules
\n\u2022 Co-ordinating and organizing various meetings and confirming attendance
\n\u2022 Answering executive team telephones when they are not available and take detailed messages or redirect calls as required
\n\u2022 Maintaining the managing directors filing system
\n\u2022 Ensuring standard equipment and refreshments for meetings are arranged
\n\u2022 Maintaining office stationery supplies
\n\u2022 Administrating the companies cell phone contract and accounts
\n\u2022 Ensuring that supplies of head office refreshments are maintained and ordered
\n\u2022 Travel and accommodation arrangements are made as and when required for all personnel who are required to travel
\n\u2022 Ad hoc head office functions are organized on request
\n\u2022 Liaising and managing of cleaning contract and staff<\/p>\n
