To supervise and manage the sales process within the sales division for all Key Account Managers to ensure that the Sales Administrators are assisted Review and ensure that all ATP\u2019d links are invoiced Act as a Custodian of processes for the Sales the admin remit Ensure system processes support TAT\u2019s, and all require staff is trained Ensure all staff understand the purpose and impact of their role Manage and maintain all customer information on CRM<\/p>\n

Job Title: Manager: Sales Administration<\/strong>
\nLocation:<\/strong> Johannesburg<\/p>\n

Job Summary:<\/strong>
\nDuties & Responsibilities:<\/strong>
\nACCOUNTABILITIES & RESPONSIBILITIES (KEY PERFORMANCE AREAS & TASKS):<\/strong><\/p>\n

Supervision \/ Management of Sales Process:<\/strong>
\nAssume responsibility for the performance, direction and development of the Sales Admin team
\nDetermine system improvement measures to enhance our current working processes
\nEnforce compliance guidelines with client agreements in terms of order processing
\nManage Sales Admin team is working effectively and efficiently, to achieve the tasks given to them and ensuring that the accounts they are working with are running effectively and productively
\nSupervise and manage the sales process within the sales division for all Key Account Managers
\nEnsure that Administrators process customer’s re-quest for quotation (on CRM)
\nEnsure correctness of information to process link on system (Information such as):
\nCustomer details (if not already on the system): Address and contact details; registration and VAT numbers; contact person(s) and signed agreements
\nSite A and Site B information (if not already on the system): Physical address; coordinates and managing company Liaise with KAM or directly with customer to obtain details
\nSend RFO documents to customer and capture data on CRM
\nSubmit Schedule B\u2019s for financial approval
\nSend access request to Implementation for site survey and obtain costing
\nConvert opportunities into orders on the CRM; obtain circuit numbers and links are moved to implementation for build
\nInvocoms to be held with all subordinates to drive the business forward as per company vision and strategy
\nAttend cross functional Invocom meetings with relevant departments \/ functions to ensure speedy delivery of links; problem solving strategies<\/p>\n

All compliance guidelines are adhered to
\nAll tasks are completed accurately and timeously
\nAll quotation requests are actioned accurately and timeously<\/p>\n

Reports:<\/strong><\/p>\n

Monthly reporting on all opportunities, exceptions, TAT\u2019s, Admin volume, customer volume,
\nDo reconciliation with functional reports in line with the data on the system
\nManage credit disputes, understand causes and re-solve root cause
\nReport on tickets, issues and escalations impacting long term and short-term objectives
\nProvide regular order intake reporting to all teams to manage the achievement of targets<\/p>\n

Measurable:<\/strong>
\nAll relevant reports are submitted in timeously<\/p>\n

Miscellaneous & General:<\/strong>
\nReport to management on all problem areas related to area of responsibility and how to mitigate them
\nEffectively coordinate staff within Sales Admin from a growth point of view including performance management and succession planning
\nPerform any other work-related duties and responsibilities that may be assigned from time-to-time by management
\nManage customer escalations timeously
\nEnsure Sales Admin staff is adequately trained to manage workload, has technical understanding of systems, processes, pricing, systems, products, customer requests, bulk deals
\nEnsure system processes are simplified and stream-lined
\nImplement and manage customer uptake onto digital platforms
\nManage data quality for all sales admin related areas
\nUpdate information and constantly align data in ac-accordance with CRM\u2019s new developments
\nConduct customer training for systems, information, RFI\u2019s, digital platforms
\nFrequently perform data \u201cclean-up\u201d operations
\nAssist in developing systems, processes and methodologies for Sales Admin
\nCo-ordinate Board Pack submission for Sales and data integrity
\nManage team development, KPI\u2019s, succession planning, team moral and cohesiveness
\nCreate a customer centric environment
\nManage month end \/ year end closures<\/p>\n

WORKING CONDITIONS:<\/strong>
\nOffice based<\/p>\n

Desired Experience & Qualification:<\/strong>
\nGrade 12
\nBusiness management diploma or national diploma in Sales and Marketing, or a related tertiary qualification (or studying towards one)
\nManagement skills
\n2 \u2013 5 years’ sales management experience is essential
\nTechnical understanding will be an added advantage<\/p>\n

\nApplying knowledge regarding principles, techniques, and tools used in planning, control, monitoring, and review of projects<\/p>\n
