Purpose of the role:
\nTo provide administrative support to the Marketing team, including 3 Senior Managers, 12 Managers and one Vice President based in Istanbul.<\/p>\n
Requirements:
\nMatric
\nRelevant secretarial qualification\/diploma
\nAt least 10 years in a similar role<\/p>\n
Responsibilities:
\n\u2022Assisting Global Executive staff (based outside of SA) with coordination of travel and transits
\n\u2022Telephone Management
\n\u2022Diary \/ Calendar management
\n\u2022Meeting co-ordination
\n\u2022Stationary management
\n\u2022Conferencing e.g. venue co-ordination, invites, accommodation, transport arrangements
\n\u2022Post and Courier: sending, receiving and distributing of mail
\n\u2022Meeting scheduling: prepare meeting documentation and arrange catering
\n\u2022Minute taking and correspondence of relevant meetings
\n\u2022Travel: Arrange local\/international travel logistics, assist with relevant applications and documentation – passports, visa\u2019s, verify health requirements of destination e.g. vaccines
\nassistance will be required to assist with requests around travel after normal office hours
\n\u2022Office environment: maintain office equipment, and arrange for cleaning
\n\u2022Expense claims: compile and process
\n\u2022SAP: create purchasing orders \/ GRNs
\n\u2022Capture team sick leave (Head office only)
\n\u2022Meeting management: logistics and co-ordination
\n\u2022Management of docufile: request and sign for necessary files
\n\u2022Trigger MLJ (Mover\/Leaver\/Joiner) process
\n\u2022Co-ordination and collection of money for gift \/ team functions
\n\u2022Adhoc projects
\n\u2022Co-ordinate set ups for offsite mtgs (room decor, product samples etc)
\n\u2022Annual departmental project \/ function work may be required e.g. Plan Year end function<\/p>\n
