They are looking for bubbly, coordinated Receptionist with excellent admin skills to join their team in Cape Town.<\/p>\n

Duties & Responsibilities:<\/strong>
\nMain Duties & Responsibilities:<\/strong><\/p>\n

Take pride in managing the Front of house of the centre:
\nCleanliness
\nOrganised reception desk
\nPresentable appearance
\nSwitchboard:
\nAnswer calls professionally
\nCreate client satisfaction, express helpfulness and friendliness
\nTake accurate messages
\nEnsure calls are transferred correctly
\nBe the first point of contact for all clients and visitors on a daily basis, providing a friendly and welcoming front of house service \u2013 ensuring excellent first impression
\nAlways ensure client\u2019s needs are met, promptly and professionally
\nEnsure visibility and readiness to assist clients as and when the need arises with flexibility and helpfulness
\nhave a basic understanding of all key services:
\nProducts (Office, on-the-move, IT, telecoms, canteen etc.)
\nAdministration services: copies, printing, typing of documents etc.
\nAlways has true intention to go above and beyond the expectations of a client, must have an internal passion for customer service.
\nTake ownership of queries or client issues brought to his\/her attention and must ensure it is followed through to the end
\nAs a backup to the CM the receptionist must be available for the preparation of offices before new clients move in. Setting up IT (Basic), Telephones, furniture and ensuring welcome packs are ready for the arrival of new clients.
\nAssisting clients with printing, binding and copying (when receptionist is unable to)
\nAlways keep an eye open for centre cleanliness including bathroom facilities whenever you move around the centre (report unsatisfactory areas to CM)
\nProfessional and clear communication skills
\nKnowledge of Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook
\nExtremely important to have organisational skills and the ability to prioritise and multi-task
\nAct as a back-up when needed ensuring the boardrooms are ready for the client use, if there is special requirements e.g.:
\nVideo Conferencing
\nLunch requirements
\nBeverage requirements
\nFlip chart etc.
\nEnsure that everything is in order before the client uses the boardroom.
\n\u2022 Provides admin support including:
\nMail distribution into post boxes
\nOrganising courier services
\nOrdering office supplies
\nPreparing and booking meeting rooms
\nOther administration\/secretarial duties
\nEmbraces the brand and set an example for the team of high performance, professional appearance and proficient customer liaison
\nCheck clients birthdays and ensure client is made to feel special (activity to be discussed with CM)
\nStationery control, compile order, get approval from CM and place order. Follow up on prompt delivery
\nClient stationery, ensure signed orders received from clients before placing orders for stationery (discuss with CM)
\nEnsure copy machine has got toner and enough paper every morning on arrival
\nMaintenance of office equipment (printer, binder, copier)
\nEnsure all filing is up to date
\nPromptly emailing clients phone messages with a clear message including name, contact number and company of the caller plus any additional descriptions
\nInforming clients that post has arrived
\nUpdating credit\/debit card payments sheet on a daily basis (where applicable)
\nBalancing, printing and filing month end credit\/debit card payments with slips
\nAdding new users to CSP
\nAssist CM with registering of IT Logs with IT
\nEnsuring staff sign the attendance register on arrival and departure
\nCompiling new tenant files with CM
\nEnsure welcome packs are in order for new tenants (assist CM)
\nEnsure documentation\/tour packs for tours is pre-packed (where applicable)
\nAssisting clients with printing, binding and copying
\nKeeping track of clients printing, binding, copying at reception printer (assisting CLA)
\nAlways keep an eye open for centre cleanliness including bathroom facilities whenever you move around the centre (report unsatisfactory areas to CM)<\/p>\n

Desired Experience & Qualification:<\/strong>
\nEducational Requirements:<\/strong><\/p>\n

Matric
\nRelevant administration tertiary qualification advantageous<\/p>\n

Experience and Skills Required:<\/strong>
\n2 – 3 + years\u2019 experience in similar role
\nHotel \/ hospitality industry experience will be an added advantage
\nComputer literate: MS Office
\nExcellent communication skills
\nWell-presented<\/p>\n
