The position requires the ability to work independently, excellent communication and administrative skills. \nFielding calls, taking messages, and following through to ensure the necessary action and responses are concluded.
\nAssessing and filtering incoming matters and directing to appropriate owners in the business and escalating when required.
\nDelegating work on the Executives request.
\nManaging and maintaining excellent diary management and all the associated arrangements including attendee coordination, boardroom and venue bookings, catering and other.
\nManaging and maintaining an efficient filing system.
\nLiaising with customers, suppliers and employees when required.
\nPreparing professional documentation that meets the company\u2019s standards (letters, presentations, reports, board packs etc.). This includes coordinating and managing the contributions of various parties, ensuring document continuity and standardisation.
\nActing points at meetings and transcribing the same. Distribution of minutes once authorised.
\nTravel management including booking of flights, cars, accommodation, and international requirements when necessary.
\nManagement of incidental company expenses through credit card process including following the required authorisation process, keeping detailed records\/receipts and accurate and timely reconciliations.
\nOverall office upkeep and housekeeping. Ensuring that the offices always present the image of the company.
\nOverseeing and arranging company events.
\nSupporting other members of the Executive as required.
\nOffice stock management including stationary, groceries and cleaning materials.
\nTeam leadership of the Office Support Team including:
\nReceptionists
\nFacilities staff<\/p>\n
\nMinimum 10+ year PA \/ Admin \/ Coordination experience essential
\nTelecoms, Tech industry experience beneficial
\nFully MS Office literate (i.e., Advanced: Email, Word, PowerPoint, Intermediate: Excel) essential
\nCompetent in Google Suite essential
\nGenerally, technically astute
