Assist in ensuring maximum income of Property through effective debtor\u2019s management. Responsible for collecting monies owing in respect of properties managed by the company. Responsible for performing collection activities associated with various accounts.\u00a0 Reviews accounts, determines probable reasons for account status, and contacts clients to resolve the delinquencies.\u00a0 Utilizes various techniques, as circumstances indicate, to promptly collect on accounts.\u00a0 Ensures that the Company&#8217;s professional image is maintained.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>ESSENTIAL FUNCTIONS AND BASIC DUTIES<\/strong><\/p>\n<ul>\n<li>Assumes responsibility for the effective and professional performance of collections functions.<\/li>\n<li>Follows up on accounts by telephone, personal contact, and correspondence to secure a satisfactory resolution to the repayment problem. Discusses possible financial arrangements, informs clients of potential legal actions, and suggests financial counselling to arrive at suitable payment arrangements. Continues to collect until the account becomes a write-off, bankruptcy, or attorney account.\u00a0 Makes early contact with tenant to collect and keep them informed of account status.<\/li>\n<li>Utilizes effective human relations skills and various forms of persuasion to present a positive Company image in an already negative situation. Calms irate clients and answers questions and complaints relevant to Department functions.\u00a0 Determines reasons for delinquencies and works toward permanent solutions.\u00a0 Minimizes losses by early actions.<\/li>\n<li>Utilizes further appropriate collection methods if initial attempts do not secure required payment. Escalates to client for extensions of due dates.<\/li>\n<li>Posts approved extensions and notifies clients of new due date by mail.<\/li>\n<li>Performs collections efforts in accordance with Company policies and procedures and ensures they are legally compliant.<\/li>\n<li>Assumes responsibility for the efficient administration of collections activities.<\/li>\n<li>Keeps accurate and up-to-date activity reports on late, potentially late, and accounts.<\/li>\n<li>Documents all collection actions taken, including telephone conversations, alternative financial arrangements, and correspondence on computer.<\/li>\n<li>Ensures both monthly and ad-hoc rental and fee statements are sent out timeously.<\/li>\n<li>Controls and monitors tenant payments in terms of rentals, deposits, lease fees, etc.<\/li>\n<li>Liaises with tenants as appropriate.<\/li>\n<li>Handles rental queries efficiently and diplomatically.<\/li>\n<li>Queries tenants\u2019 short payments.<\/li>\n<li>Ensures the daily receipting and processing of tenant payments.<\/li>\n<li>Liaises with finance department regarding bank account deposits, queries and mis-allocations.<\/li>\n<li>Generally, ensures that:<\/li>\n<li>Rent (and other charges) are paid by the 1st of each month unless specified in lease.<\/li>\n<li>Letters of demand on the 3rd of each month to defaulting tenants. Recover LOD charge.<\/li>\n<li>Summons\u2019s are issued as per the legal process.<\/li>\n<li>Administers legal processes for the recovery of lease charges due and\/or eviction of tenants.<\/li>\n<li>Motivation and processing of write-offs, deposit refunds, etc.<\/li>\n<li>Assumes responsibility for timely and accurate preparation and submission of management reports.<\/li>\n<li>Preparation of detailed debtor\u2019s reports illustrating weekly and monthly collections:<\/li>\n<li>Weekly\/monthly arrears against billings (debtor\u2019s day calculations)<\/li>\n<li>Preparation and submission of attorneys\u2019 reports on all legal matters.<\/li>\n<li>Daily Receipting on tenant accounts.<\/li>\n<li>Journal entries and corrections to tenant accounts to ensure updated tenant statements are presented to tenants.<\/li>\n<li>Reconciliation of tenants\u2019 accounts.<\/li>\n<li>Collection of monthly unaudited turnover figures to be collected and captured on the system.<\/li>\n<li>Collection of annual turnover certificates and collate documents for submission to accountants for calculation purpose.<\/li>\n<li>Preparation and calculation of annual rates increases.<\/li>\n<li>Refuse calculation and recovery and other ad hoc recoveries.<\/li>\n<li>Generate exhibition invoices as and when required and reconcile monthly.<\/li>\n<li>Assumes responsibility for ensuring that professional business relations are established and maintained with clients and external contacts.<\/li>\n<li>Maintains the Company&#8217;s professional reputation throughout collections operations and in all contacts with clients.<\/li>\n<li>Maintains confidentiality.<\/li>\n<li>Uses shared information to effectively minimize client losses<\/li>\n<li>Assumes responsibility for establishing and maintaining effective communication and coordination with Company personnel.<\/li>\n<li>Assists area personnel as needed<\/li>\n<li>Keeps management informed of activities, progress toward established objectives, and of any significant problems i.e.: risks where tenants are heading towards Business Rescue.<\/li>\n<li>Attends and participates in meetings as required.<\/li>\n<li>Assist in compiling management packs.<\/li>\n<li>Assumes responsibility for related duties as required or assigned.<\/li>\n<li>Stays informed of changes in collections policies, procedures, and related legal requirements.<\/li>\n<li>Ensures that work area is clean, secure, and well maintained as per housekeeping policy.<\/li>\n<li>Dress code must always be professional due to client requiring meetings at any time<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>PERFORMANCE MEASUREMENTS<\/strong><\/p>\n<ul class=\"bullet-list\">\n<li>Arrears KPI: 3%<\/li>\n<li>Deadlines are met<\/li>\n<li>Tenant queries are handled efficiently and diplomatically<\/li>\n<li>Recon turnaround time 48 hours, must be 100% accurate<\/li>\n<li>Rates\/refuse and other recoveries must be 100% accurate<\/li>\n<li>Good working relations exist with area personnel and with management<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>QUALIFICATIONS<\/strong><\/p>\n<ul class=\"bullet-list\">\n<li>Education\/Certification: Matric<\/li>\n<li>Three years related experience on a property listed fund<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>REQUIRED KNOWLEDGE:\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0<\/strong><\/p>\n<ul class=\"bullet-list\">\n<li>Knowledge of collection procedures and related laws and regulations.<\/li>\n<li>Understanding of Company policies, legal jargon, Business Rescue, Liquidation.<\/li>\n<li>Familiar with default and enforcement clauses.<\/li>\n<li>Interpretation of leases.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>SKILLS\/ABILITIES<\/strong><\/p>\n<ul class=\"bullet-list\">\n<li>Excellent administration abilities.<\/li>\n<li>Able to organize, co-ordinate, and direct team activities.<\/li>\n<li>Good communications and grammar skills.<\/li>\n<li>Able to use all related equipment and computer applications.<\/li>\n<li>Time management is imperative.<\/li>\n<li>Ability to work well in stressful situations.<\/li>\n<li>Ability to work well independently.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>To Apply<\/strong><\/p>\n<p><strong><a href=\"https:\/\/www.careers24.com\/login\/?returnurl=\/jobs\/apply\/2082216\">Click Here!<\/a><\/strong><\/p>\n<p><strong>Application Deadline: <\/strong>November 10 2023<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Our purpose is to be the leading real estate services provider and the preferred place of employment for our industry\u2019s professionals.
