Job Title: Administrative Programme Coordinator: Land and Biodiversity Stewardship Portfolio – Grasslands Programme

Job Summary:
WWF-SA invites applications for the position of Programme Coordinator to support and facilitate the administrative work of the Land and Biodiversity Stewardship Portfolio within the Grasslands Programme. The Land and Biodiversity Stewardship Portfolio’s vision of success is:

•Assist the Grasslands Programme Team with budgeting and planning process for the organization’s annual budget.
•Coordinate and manage ad hoc project funding grants and disbursements for the Programme.
•Support the Programme Team with monthly NetSuite reports to enable the team to do monthly forecasts of financial performance against projects & core budget, financial and operational goals. Manage reminders for short and long-term financial and managerial reporting.
•Liaise with Project Accountant to prepare donor financial reports periodically.
•Assist the Programme Team on analyses, forecasting, cash flow and comments upon project variances.
•Support the Programme to ensure accurate cost recovery for core or project funded staff is submitted and approved at PAT.
•Manage day-to-day processing of accounts receivable and payable through coordination with WWFSA finance department, including liaising with service providers, obtaining quotes and processing of purchase orders and Expense reports.
•Oracle NetSuite Superuser: Uploading new projects, updating project information, uploading new suppliers on database, etc.
•Submit expenses reports and purchase orders on NetSuite.
•Assist with external audit processes by ensuring all documentation is filed electronically and accessible according to donor requirements.

Organisational requirements:

•Coordinate and manage the programme with all Organisational processes such as CPM reporting, NetSuite data clean up, KPI process, monthly team meetings.
•Provide guidance on administrative, financial, and legal requirement and procedures to Programme staff when needed, to enable good governance.
•Liaising with the Programme Manager on a quarterly basis to ensure that their operational support requirements are met and to provide guidance on existing or new policies, procedures and to ensure that good governance is adhered to in line with Organisational strategies.
•Coordination of Programme / project approvals and submissions to PAT, Planning and Design, Planning E and Creative Co-design meetings.

Legal & Risk Management:

•Notify the Programme Manager and/or Grasslands Team of Technical and Financial Reports due dates as contractually agreed with Donors/Funders.
•Coordination of contractual agreements for project income & disbursements for insourcing and outsourcing.
•Draft new project agreements and addendums, track approvals, complete checklists for legal and financial department’s review.
•Update disbursement register with fully signed contracts / agreements and shave on SharePoint folder.

Administration:

•Coordinate Programme Managers’ meetings and staff meetings.
•Assist the Programme with scheduling of meetings / workshops / Technical working groups and all travel arrangements both locally and internationally (Including accommodation bookings).
•Manage travel claim procedures for the Grasslands Programme Team.
•Manage stakeholder database.
•Maintain records and effective electronic and manual filing systems (Netsuite and CPM filing and project updates).
•Provide general administrative support to the Grasslands Programme Team.
•Provide accurate minutes of internal and external meetings as required.
•Manage and control all Grasslands Programme assets including project vehicles.
•Support the Programme Team with ensuring adherence to WWF & Funder’s reporting on a quarterly basis and Technical Progress Reports.

Requirements:
•Tertiary degree or Diploma in Business Administration, Logistics or Operations.
•3 to 5 years Administrative and/or PA experience incorporating: project coordination skills, organizing and planning skills, scheduling of local and international travel.
•Financial administrative skills, including the interpretation of financial statements.
•Proven experience in implementing and improving administrative processes and systems.
•Good verbal and written communication skills in English and the ability to communicate in one other SA language would be advantageous.
•Technologically proficient (Teams, Zoom, MS Office, MS Outlook, Video Conference, Teleconference etc).
•Computer literacy – in word processing (MS Word), spreadsheets (Excel), databases for recording and reporting (Access), email and presentations (MS PowerPoint)
•Ability to think and work independently as well as the ability to engage across organization and hierarchical levels.
•Ability to work with a team and accept additional responsibility, show initiative, and proactively work to exceed targets.
•Results driven and able to manage conflicting deadlines.
•Good interpersonal skills.
