Vacancy Details

Key Responsibilities/skills:

    • Receive, process, and manage customer orders using the company’s order management system.
    • Coordinate with workshop to ensure timely order fulfilment.
    • Liaise and communicate with suppliers.
    • Communicate with customers regarding order status, delivery schedules, and any relevant updates.
    • Maintain accurate and up-to-date order records.
    • Create and manage customer and vendor accounts in the accounting system (Pastel).
    • Generate and issue customer invoices, ensuring compliance with VAT regulations.
    • Follow up on outstanding payments and manage credit terms.
    • Process supplier invoices, ensuring accuracy and compliance with financial standards.
    • Generate regular statements for both debtors and creditors.
    • Review statements for accuracy, resolve discrepancies, and communicate with stakeholders.
    • Place orders for office stationery and supplies, ensuring cost-effective procurement.
    • Reconcile supplier invoices related to office supplies and process payments.
    • Process PAYE deductions accurately and submit relevant documentation.
    • Stay informed about MEIBC regulations and ensure company compliance with wage and employment standards.
    • Utilize Pastel for financial recordkeeping, including entries for sales, purchases, and expenses.
    • Generate financial reports using Pastel.
    • Maintain the integrity of financial data in the system.
    • Maintain organized and compliant records for financial transactions, orders, and administrative processes.
    • Ensure adherence to company policies and relevant industry regulations.
    • Collaborate with manufacturing team and management to ensure seamless operations.
    • Communicate effectively with internal and external stakeholders, including MEIBC representatives.
    • Previous experience in a similar administrative role, preferably with a focus on financial duties.
    • Proficiency in using Pastel accounting software with an understanding of VAT, PAYE
    • Experience with MEIBC compliance preferred.
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • Attention to detail and accuracy in financial recordkeeping.
    • Team player.
