Job Summary:
Provide support to Project Sponsors, Project Owners and/or Product Development function in developing and finalizing robust business cases for allocated projects (this includes setting up workshops and providing input into the drafting of business cases.)
Extrapolation of key information from business cases to enable efficient project planning and initiation (i.e. project scope, timelines, project goals, budget, sponsors, governance communication, change management, etc.)
Prepare project initiation / project charter and governance structure for each allocated project.
Support the Procurement team and Business in the sourcing of appropriate service provider/s for all allocated projects.
Preparation of a detailed project plan in collaboration with the IT Department,
Facilitate engagement between Product Owners, Development Team and Business representatives to enable the efficient gathering of project requirements, process mapping and architecture designs.
Support Product Owners, Development and other IT stakeholders in preparing for the Software Development Lifecycle process
Submit the project plan to the Programme Manager for review and sign-off.
Execute projects in accordance with the project plan and ensure projects are implemented within scope, budget and within the allocated time frame.
Track project expenditure by continously monitoring the utilisation of internal and external project resources, reporting on any budgetary variances to the Programme Manager, Project Sponsor and/or STEERCO.
Schedule and coordinate project meetings for all allocated projects, to ensure that feedback and progress is reported timeously to the relevant stakeholders, and by conducting follow ups to ensure action items are attended to.
Collaborate with the Marketing Department in the drafting and distribution of communication to the identified stakeholders.
Monitor adherence to the project plan and timelines by internal and external service providers,
Ensure that each allocated project has a comprehensive change management plan
Continuous assessment of negative and/or positive impact on business operations for each of the allocated projects
Submit finalized requirements for review and approval by Project Sponsors, Project Owners and Business representatives
Collaboration with the rest of the PMO team to ensure successful implementation to the overall strategic programme
Contribute and provide input in finalizing PMO reports for EXCO, STEERCO and different MANCOs.
