Vacancy Details

Racing Distribution has an exciting opportunity available for an Operations Assistant (Advanced) to be based in Umhlanga. The successful incumbent will be responsible for ensuring that DSI functions are carried out accordingly and production is on schedule for distribution. Maintain a good relationship with customers and outlets and to ensure proper and efficient service delivery. Ensure all reports are completed every month before the deadline. Ensure magazines are distributed as scheduled and reports done once collection has been completed. Ensure all queries relating to distribution and discrepancies are attended to immediately in order for imports to run smoothly. Assist the accounts department with any related query. Deal with publishing for major race meetings. Making sure that Petty Cash is given out accordingly and accurately as per management and all documents are up to date with regards to cash given out. Ensuring that timesheets are filled out accurately for the relevant team members and signed off by management. To attend any adhoc tasks that may from time to time be given to you by management. Effectively and efficiently assist the Operations team compliment. Ensure daily, weekly and monthly reporting is done accurately and timeously and contains appropriate content to enable effective decision making. Develop cross skills within the department to ensure efficient and effective functioning of the operations department..

Minimum requirements:

  • 2-year logistics / transport experience
  • Geographical knowledge
  • Strong administration skills

Advantageous:

  • Relevant degree / diploma
  • Understanding of the supply chain process
  • Pastel evolution or similar software

Responsibilities:

Financial Metrics / Operational Duties

  • Complete Distribution Sales Input (DSI) functions and reporting.
  • Ensure all reporting is completed by the allocated deadlines.
  • Adequately coordinate passenger / other transportation as required.
  • Effectively attend to all queries relating to distribution / finance (weekly reviews) and ensure that any discrepancies are resolved immediately to ensure the smooth running of the operation.
  • Deal with publishing for major race meetings.
  • Ensure that billing is completed timeously and accurately, whilst working with controllers in the region to meet the deadlines.
  • Ensure the most efficient logistics solutions are provided in order to minimize the internal cost.
  • Provide quotes to the Customer as requested.
  • Assist with controlling national roll-outs and special events.
  • Ensure that the published figures for major race meetings are captured and reconciled back to the production schedule.
  • Assist with forecasting / planning according to demand.
  • Assist with time sheets, sourcing of courier services as required.
  • Any ad-hoc responsibilities as allocated by the management team.

People

  • Performance must be tracked by yourself and the onus is placed on you to set up performance review meetings with your line manager.

Compliance, risk and quality

  • Review of customer feedback and providing comprehensive reporting to management.
  • Maintaining and enforcing company policies and procedures.
  • 100% compliance with health and safety regulations.
  • Assisting with compliance with relevant laws and regulations relating to Operations.
  • Assisting with regular risk assessments, maintenance of risk register (operations).
  • Ensure logical saving of all work, templates etc. monthly and yearly.
  • Produce high quality, neat, logical, easy to follow, easy to understand, formula linked work / templates / workbooks / financial models.
  • Ensure the above (final version) and other documents are chronologically saved / backed up.

Growth and new markets / products

  • Customer relationship management.
  • Assist with sourcing new business and new service offerings.
  • Assist with development of existing business and service offerings.
  • Ensure measures are put in place and steps are taken to achieve the short-term, medium-term and long-term goals.
  • Assist with Company projects or lead Company projects specific to operations.
