Community Media Trust (CMT) is a South African NGO focusing on communication in the fields of basic human rights. CMT does this through media and outreach programmes that provide scientific information in a format that is easy to understand.

Job Title: Payroll Clerk
Job Location: Rondebosch, Cape Town
Salary: R15 000 to R18 000 per month, which will be commensurate with experience and Discovery Life Cover benefits

The purpose of the position is to provide support to the HR Manager, by assisting with the administration of the day-to-day operations of the human resources functions and duties.


Submission of time sheets and leave tracking

  • Accurate updating VIP Leave system using daily office movements
  • Update VIP for annual leave, sick leave, family responsibility leave and study leave; in accordance with the HR policies
  • Alert the HR Manager of any issues around late submission of timesheets or non-adherence to the leave policy
  • Responsible for creating monthly Excel timesheet templates
  • Collect timesheets from employees, verify for accuracy, reconcile with leave forms and obtain the necessary approval
  • Attention to detail on incoming timesheets
  • Provide the HR Manager with the leave balances on a monthly basis
  • Provide the Office/Compliance Manager with verified – accurate timesheets on a monthly basis

Maintenance of employee records

  • Responsible for creating/maintaining files related to new engagements and terminations
  • Keep personnel files up to date in line with audit requirements
  • Maintain and update the VIP electronic employee database

Recruitment and selection

  • Schedule interviews with candidates and panel members, prepare interview packs
  • Obtain reference checks for selected final applicant
  • Inform job applicants of their acceptance or rejection for employment
  • Obtaining new hire paperwork from selected applicant

Payroll Administration

  • Assist with collation of all payroll input information


  • Assist with annual audit file
  • Provide switchboard relief in the absence of the receptionist
  • Comply with ad-hoc requests from management


  • A relevant tertiary qualification with minimum of four years’ HR administration experience
  • Full Microsoft Office Package Excel a must
  • Ability to work well under pressure, independently and with others
  • Strong communication and interpersonal skills
  • Maintain confidentiality at all times
  • Detail oriented and sensitive to confidential information
  • Previous experience on Pastel Payroll and/or VIP Classic
  • Previous experience on a Leave Administration system
  • Experience working in an NGO
  • Numeracy skills
  • Ability to work unattended and under pressure
  • Accuracy, attention to detail
  • Shows great initiative and analytical ability
  • Must possess the ability to analyse and interpret Excel information for business efficiency purposes
  • Motivated to make that deadline with accurate figures on time, every time
