Job Title: Academic Administrator

The position of Academic Administrator is responsible to support the team in meeting the deliverables by implementing and coordinating administrative and logistic responsibilities within one or more allocated programmes offered via distance and/or contact education in a specific academic department.
This position is currently for the department of Banking in the School of Investment and Banking. The Academic Administrator would be responsible for the various Banking qualifications and its associated deliverables. The person could be responsible for investment programs at some stage if operationally required.
Managing Independent Contractors
•Assist with recruitment and selection process (liaison; arrange interviews; reference checks; collate documentation)
•Load all contractor information on the system
•Update of all contractor documentation and manage related spreadsheets
•Manage contracting process for all external academic staff on allocated programmes (drafting of LOAs on request, sending LOAs, ensuring that signed
LOAs and CVs are on file)
•Manage the claims process for the department (check, capture, get sign-off, hand in)
•Assist with contracting/briefing of part-time academics
•Organise logistics for training sessions with part-time academics
•Arrange travel requirements for part-time and full-time staff
•Deal with student/client/facilitator queries and take full responsibility for resolving the queries
•Ensure that student complaints/concerns are channeled to the correct department and solved to the student’s satisfaction
•Conduct programme specific student surveys and focus groups, in coordination with the Tuition committee; evaluate and action items/manage action of
items (including requesting student support)
•Build good relationships and liaise with internal departments, part-time academics and corporate clients of Milpark
•Manage and maintain the general framework of myMilpark for allocated qualification(s). Provide general student support on myMilpark.
•Manage general student communication on the qualification.
•Assist with the administration of the At Risk process
•Request; gather and action the contractor feedback documentation
•Extract; review and process the student evaluation feedback
•Manage the tutor forum (check, respond, redirect, follow up) within agreed timelines
•Co-ordinate the ordering and delivery of assessments/support material from printers to logistics department
•Planning and tracking of the assessment and programme-related processes
•Arrange the marking sessions and liaise with the relevant contractors
•Action and follow-up on configuration and assessment-related matters
•Liaise with alumni or prospective students
•Assist with audits and gathering of documentation
•Assist with special projects as requested by the academic member
•Assist the team with general administrative matters
•Keep minutes of meetings
•Manage the filing and record keeping system in the department
•Distribute relevant academic material/communication to contractors/facilitators.
•Planning of meetings and training sessions
Education & Experience Requirements:
•At least 3 years’ experience in an educational environment
•An NQF 6 or 7 business related qualification
•Proficient in excel (intermediate – advance level)
•Project coordinator and report writing skills
