The Observatory Improvement District (OBSID) is an established Special Rating Area (SRA) and provides top up services as a provider to the City of Cape Town.  These services include public safety, urban management and social development with an additional focus on arts and heritage projects.

Job Title: Operations Coordinator
Job Location: Cape Town
Report to: The CEO

The successful incumbent will be responsible for delivering a wide range of activities, projects and support across a diverse range of portfolios.

Responsibilities:

  • Programme support, provide programme teams with support with specific projects and tasks, also assisting the CEO with programme reviews and development, getting involved with project activities as relevant (social development, urban management)
  • Communication, write content for use across all platforms (digital and print), ensuring that the website is kept up to date and relevant, coordinating special projects, following up with programmes to gather content and success stories for communication on various platforms, working with the CEO to design and deliver communication campaigns for different programmes, liaising with print and digital designers and service providers on projects
  • Events and other projects, coordinate OBSID’s involvement in street festivals, special events and celebrations
  • General office administration, establish and maintain suitable administrative systems and processes, including but not limited to member database maintenance, preparation of Board and other document packs, coordinating all activities related to the AGM, controlling petty cash, all filing systems, managing consumables and other procurement for all programmes, maintaining HR systems, preparing payroll input pack for sign off, maintaining all IT systems and ensuring IT systems are functioning optimally at all times
  • Community liaise, provide a contact point for all enquiries from the community, ensuring that enquiries are followed up on, working with the relevant programme to respond to enquiries
  • Corporate governance, maintain record retrieval systems, assisting with the arranging of annual financial audits and document packs, preparing Board packs, arranging the Annual General Meeting, assisting the Bookkeeper with specific finance tasks
  • Report, coordinate monthly programme reports across all programmes, coordinating monthly finance reports
  • City of Cape Town liaise, follow up on any issue reported to the City of Cape Town’s various departments via C3 or other channels until such time as feedback is received or the matter is resolved

Requirements:

  • A relevant qualification coupled with a minimum of five years’ relevant work experience
  • A valid driver’s licence and own vehicle
  • Computer literacy WordPress, Microsoft Office suite, databases e.g. Salesforce (advantageous)
  • An interest in community issues and in understanding how the OBSID can deepen and improve its services within its mandate, as well as an interest in Observatory as a suburb
  • Systematic and thorough in approach and able to see activities and tasks through to completion
  • Communication skills, both verbal and written
  • Proven writing skills for different platforms
  • Strong systems and administrative skills and the ability to maintain multiple diverse systems also ability identify system weaknesses and address these
  • Finance management skills
  • Ability to work independently as well as part of a team
  • Ability to handle pressure
  • Open minded and willing to learn
  • Some flexibility as regards availability to work after hours or on weekends as may be needed
  • Sound work ethic, attention to detail, high energy levels and a willingness to get involved in a wide range of issues
