uTshani Fund provides administrative and bridging finance functions in support of a community-led process to change the relationships of power and influence within and between communities and the state around issues of human settlements and livelihoods. uTshani Fund works in close cooperation with non-governmental organisation (NGO) partner Community Organisation Resource Centre (CORC) who provides social and technical support to two national social movements: Federation of the Urban and Rural Poor (FEDUP), a network of woman’s collectives mobilising around savings schemes and housing construction via the enhanced People’s Housing Process (ePHP), and Informal Settlement Network (ISN), a network of informal settlement organisations mobilising around issue-based and in-situ informal settlement upgrading agendas in the five major cities in South Africa. This alliance is associated with the global network of the urban poor in 33 countries, Shack / Slum Dwellers International.

Job Title: Project Administrator
Job Location: Cape Town

The purpose of the position is to render administrative assistance to projects

Responsibilities:

Payments for projects

  • Prepare payment requisitions
  • Follow up on payments
  • Get correct authorisation for payments
  • Creditor control
  • Obtain invoices from suppliers

Monitor progress on projects

  • Chase up Project Managers on building status
  • Update pledge status
  • Follow up to get documents before claims can be made
  • Include records in excel for member’s expenditure

Procurement of materials for projects

  • Obtain quotations from Suppliers and forward to FM
  • Inform Suppliers when approved for delivery of materials
  • Follow up with Project Managers that materials are actually delivered before making payments
  • Check material orders against bill of quantities
  • Give input into capital budget with Financial Manager

General administration

  • Answer the phone for the department
  • File Bank statements for each bank
  • Follow up with Government for subsidy payments on claims submitted

Requirements:

  • Report writing and numerical skills
  • Computer literacy
  • Ability to give attention to detail
  • Have organising and coordination qualities with strong communication and interpersonal skills
  • Have Negotiating skills
  • Ability to work independently, self-motivated and resourceful
  • Ability to multi-task, Able to operate successfully under tight deadlines and time pressures
  • Build and maintain and retain relationships
