Recruitment Assistant


Job Specification

  • Job spec analysis together with the Recruitment Advisor
  • Entering of job spec onto the recruitment system, including information from the business as well as brainstormed information from the Recruitment Advisor

Sourcing Candidates

  • Recruitment Assistant is involved in the sourcing of candidates utilising the following methods:
  • Database searches
  • Information from the Recruitment Advisor
  • Word of mouth or Personal Network
  • Mining of Headhunting list
  • Other Recruitment Assistants and Advisors
  • Current candidates and placements – referral system
  • Internal candidates and internal referrals
  • Advertising
  • Agency sourcing
  • Capturing of CVs – for the position or ad hoc
  • Ensuring that the database is reviewed and information sent through to the Recruitment Advisor twice daily – candidates pre-screened and discussed as a team
  • Turnaround times on responses to each candidate should be within 24 hours

Monitoring Progress of the Position

  • Discussion with the Recruitment Advisor regarding the position and appropriate candidates
  • Setting up of all candidate interviews, which includes:
  • Setting up interviews
  • Scheduling of venues
  • Sending job spec and email to the candidate
  • Welcome and introduction to the candidates
  • Interviewing of junior positions where appropriate
  • Preparation of the interview synopsis, which includes:
  • Preparation of CVs
  • Discussed interview feedback
  • Summary of recommendations
  • Ensures that business meetings are scheduled with all relevant people
  • Ensures that all ITC, criminal and qualification checks are completed and information feed back to the Recruitment Advisor
  • Data Integrity
  • Recruitment Assistant is responsible for ensuring that all information is 100% accurate within the recruitment database. This includes:
  • Open positions
  • Future positions
  • Candidate information
  • Recruitment Assistant must have an in-depth knowledge into the candidates within the database, in order to assist the Recruitment Advisor with finding specific candidates for a position
  • Management and maintenance of the filing system
  • Relationship Management
  • Ensuring that communication exceeds all stakeholders expectations, through appropriate frequency and content
  • Gain understanding of stakeholders needs

Additional Responsibilities

  • Recruitment Assistant is an integral part of the recruitment process and is as responsible for client service and satisfaction as the Recruitment Advisor
  • Gain understanding of the business
  • Gain understanding of the market
  • Ability to manage business expectations if the Recruitment Advisor is not in the office

Qualification and Experience:

  • Business related degree or diploma would be preferable
  • Minimum of 2 or more years business experience
  • Understanding of general business principles
  • Relationship Management
