SENIOR SECRETARY GR II 2 POSTS REF NO: CFO15/7/4

SALARY : R132 399 per annum, Level 5
CENTRE : Finance Management Division, Chief Directorate Financial Services, Directorate
Financial Control.

REQUIREMENTS : Grade 12 certificate with exposure to general secretarial duties. Grade 12 with
commercial subjects will be an added advantage. Special skills requirements:
Computer literate (Excel, PowerPoint, and MS Word). Good telephone etiquette,
Ability to multi task and to work under pressure. Good inter-personal skills,
adaptability and resourcefulness. Applicant must have good communication skills
and time management. Be presentable, reliable and punctual.
DUTIES : Render effective and efficient secretarial services to the Director. Take minutes in
Director’s meetings. Type a variety of documents, including agendas, memos,
letters and reports. Handle and maintain the Director’s diary, correspondence,
files, telephone calls and take messages. Arrange entry authorisations, receive
visitors and serve tea/refreshments. Arrange meetings, appointments, flights,
accommodation, transport and do ad-hoc tasks as required. Ensure that the
Director receives agendas and minutes timeously. Update and store the
Directorate’s personal information. Remind the Director of the scheduled
meetings and appointments and submission of documents. Ensure the office is
tidy and inventory is maintained and updated. Ensure faulty and malfunctioning
equipment in the office are reported. Receive, register, route and file
correspondence accordingly (i.e. agendas, minutes etc.). Applicant will also be
responsible for procurement of office requirements in the Director’s office.

SALARY : R132 399 per annum, Level 5
CENTRE : Defence International Affairs, Erasmuskloof, Pretoria.
REQUIREMENTS : A minimum of Grade 12/NQF Level 4. Applicants with prior learning, either by
means of experience or alternative courses may apply. Special requirements
(skills needed): The candidate must be computer literate (i.e. Ms Word,
Outlook/Internet, Excel and PowerPoint. Good communication skills (written and
verbal). Analytical and innovative thinking ability as well as problem solving skills.
Sound organisational skills. High level of reliability. Ability to act with tact and
discretion.
DUTIES : Provide a secretarial support service. Record appointments and events and
manage the Director’s diary. Receive telephone calls and refer to the correct role
players. Write/type documents, memorandums, letters and reports. Compile
agenda’s and take minutes during Director Meetings. Handle classified files and
documents. Arrange meetings and events for Manager. Process the travel and
subsistence claims for the Director. Identify venues, invite role players, organise
refreshments and set up schedules for meetings and events. Prepare briefing
and notes for the Director as required. Keep a filing system. Co-ordinate logistical
arrangements for meetings when required. Co-ordinate all logistical arrangements
for visitors for the Director. Remain abreast with the procedures and processes
that apply in the office of the Director. Scrutinize documents to determine
actions/information/other documents required for meetings. Record all
minutes/decisions and communicate to all relevant role players and make followup
on progress.
